Managing lead/member email unsubscribes

For many, junk email is a sensitive topic, and the UK and many other countries now have strict rules regarding email. These are enforced at multiple levels, including in GymOS. These rules are non-negotiable and are in place to keep both you and Quoox compliant with the legal regulations.

Every email sent from the GymOS system includes an unsubscribe link. Recipients may click this link and, after confirming they understand the consequences, opt out of receiving emails from your facility sent via the GymOS system. Any emails you send to an unsubscribed lead/member will be suppressed by GymOS and not sent.

You may review and re-subscribe leads/members by selecting Global Unsubscribes from the Settings section of the main menu.

For each unsubscribe record, the information shown comprises:

  • Address – the address unsubscribed.
  • Type – the type of address (typically email).
  • Spam – Whether the recipient reported the email as being spam.
  • Unsubscribed – The date/time at which the user completed the unsubscribe process, or that the spam report was processed.
  • IP address – The IP address from which the user performed the unsubscribe operation.
  • Unsubscribes – The number of times the user has unsubscribed.
  • Resubscribes – The number of times the user has been resubscribed.

Knowing a lead/member has unsubscribed

When a lead or member unsubscribes or reports your content as spam, you will receive a system alert message. Their email will be added to the Global Unsubscribes list, and a tag will be added and displayed on their lead/member record:

Clicking on the UNSUBSCRIBED tag will take you to the corresponding record in the Global Unsubscribes function.

Spam reports

Unfortunately, the average person does not understand that clicking “junk” or “spam” in their email does more than just shoving it into a junk folder. More often than not, it triggers a violation report that is sent to the administrators of their email account, who, in turn, submit it to Quoox.

Quoox is legally obliged to act on any spam reports and prevent further messages from the GymOS system from being sent to the individual. If we fail to do so, we run the risk of all emails from GymOS (regardless of client) being blocked.

Resubscribing an unsubscribed lead/member

Within GymOS, you can resubscribe a lead/member who is unsubscribed. However, there are some rules to prevent abuse and stay compliant with the rules:

  • A given email address may only be resubscribed once. Repeat unsubscribes are permanent, even if the recipient changes their mind and wishes otherwise.
  • Unsubscribes arising from a spam report may only be actioned by the GymOS support team, and require that the individual complete the resubscribe request form, attached to this article.
  • Quoox will never re-subscribe people en-masse.
  • You are liable for your compliance with your country’s spam rules, but putting Quoox at risk is a violation of our terms & conditions and may result in termination of service.

Resubscribe timings

If you resubscribe an individual via the GymOS interface, it may take up to 15 minutes before this propagates the GymOS network and emails are sent once more.

If the individual is being resubscribed from a spam report, this may take several days and involves their email provider. There is no guarantee that email can be restored as a result of a spam report, as it is at the discretion of multiple service providers.
