Active membership analysis and diagnosis

Two questions that look unrelated and turn out to be the same one: which members are on a particular membership, and which members pay a particular way. Both are a list of the gym’s live memberships with a filter on it, so both are answered together – with the counts in the reply and the full detail, including everyone’s contact details, as a spreadsheet.

Worth knowing

• Alphie reports two payment methods, and they often differ. What the membership is set to, and what actually collects the money. A member with a Direct Debit mandate is collected by Direct Debit whatever the membership says – and where somebody else pays for them, it is that person’s mandate that does it. Alphie filters on what actually collects, because that is what the question means.
• This will not always agree with the Payment methods report, and Alphie says by how much. The report shows the stored setting; this shows what happens. If the list looks short against it, the answer names the difference outright – “a further 4 are set to one of those methods but are collected by Direct Debit instead”.
• It counts memberships, not people, and says which. Somebody can hold two at once, paid for differently, so “47 memberships across 44 people” is the honest shape of the answer rather than a single number that has quietly picked one.
• A method nobody uses is said out loud. Ask for cash, cheque, bank transfer and other and Alphie will tell you if nobody at all is on cheque – which is a real answer, and stops a count of 54 reading as a mixture of four things when it is two.
• Paused memberships are included and flagged, because a pause does not end a membership. Staff who hold one are included too, and marked as staff – a coach on the members’ plan is on it.
• Two memberships with the same name will stop it. Gyms do end up with two products both called “Gold”, and Alphie shows both and asks rather than picking one.
