Membership principles
GymOS memberships are designed to meet the needs of SGPT and premium training gyms. Their operation, although straightforward, may differ from other systems you have used in the past. This is intentional and enables GymOS to deliver solutions that many different systems cannot.
Please take a few moments to review and digest the fundamental principles of a GymsOS membership, as summarised below.
- Think of a GymOS membership as being akin to a traditional gym contract. It defines an agreement between your facility and a member for the provision of services over a specified period, on a predetermined payment schedule.
- A membership may be fixed in length, be of minimum length, and/or be auto-renewing.
- A membership issues credits and other “deliverables”. Credits are the “currency” that members use to book their sessions.
- Important concept: When adding a membership to a member, the selected membership type and plan are used as the default settings for that member’s membership. They may, however, be overridden. When a membership is committed to a member, it is orphaned from much of the originating membership, and with a few exceptions, amending the originating membership type will not change the allocated membership.
The advantage of this approach is that, for example, you may have different members on the same membership paying different prices. Whereas many systems would require that you create a raft of different memberships, GymOS’s approach is designed for the real world, where there are “legacy members”, “regular members”, “friends”, “staff”, and all sorts of different rates for the same membership.
When the price of a membership is changed, it only affects new memberships created after the change takes effect. Existing memberships (again, think “contracts”) remain unaltered. Therefore, to apply a price change across the board, you would either need to amend each member’s membership or contact GymOS support for assistance. - Important concept: Within GymOS, the credit issue schedule for a membership is entirely separate from the payment schedule. One does not impact the other. This differs from most gym management systems, providing GymOS users with significantly greater flexibility.
For example, most gyms charge a monthly fee. You can do this with GymOS. However, a month is a varying period of time (28-31 days), which is not ideal for a product where you allocate “x sessions per week”. GymOS’s separate credit issue schedule resolves this, thus enabling you to take payment on a different schedule (E.g., monthly) from the allocation of credits (E.g., every 28 days). - A membership may offer multiple payment plans. Whereas some systems would require the setup of “Standard membership, pay annually”, “Standard membership, pay monthly”, “Standard membership, pay weekly”, in GymOS, you would instead configure the membership type “Standard membership” and then, within that, three payment plans – “Annually”, “Monthly”, and “Weekly”.
This approach makes managing your memberships much easier, and your KPIs & Metrics become more meaningful. - Credits are issued regardless of whether the payment cycle is up to date. This is by design. GymOS provides methods to suspend bookings and apply other penalties, if required.
- A membership may be tagged as “unlimited”. An unlimited membership is precisely as defined. It provides the member with unlimited access to any session at any venue. Unlimited memberships do not use credits, as they are wholly unrestricted.
- A membership may be tagged as a “trial membership”. This does not impact any functionality, but aids in the visibility of member advancement from a trial to a full membership.
- When enabled, all non-private memberships are offered for purchase via the store within the FitnessHub Member portal.
- A member may have multiple, concurrent membership plans. For example, they might have a training membership, but they might also have a “nutrition bolt-on”.
- Memberships are charged individually and operate individually from each other.
