The member record

The member record is where all information regarding a given member is stored and accessible. It provides access to much of the vast array of member functions available within the GymOS platform.

Don’t forget… as you navigate between different member and lead records, GymOS stores recent bookmarks to the records. You can therefore quickly and easily return to a record by selecting it from the Recently Viewed Records navigation menu.

To organise the wealth of information available within the member record, it is broken down into “tabs”. Each tab contains a set of related information, and may be selected by clicking on the tab title.

Record tabs

The record tabs and a summary of their content is provided below.

  • Summary
    An overview of the core member details, including the memberships and statuses. This tab also includes several at-a-glance statistics and graphs regarding the member’s attendance and performance.
  • Details
    The details tab is the member’s profile. They can also update a lot of this information via the GymOS FitnessHub mobile app and the FitnessHub Member Portal.
  • Calls
    A log of forthcoming and previous calls.
  • Documents
    Documents, notes, incidents, and other ad hoc files relating to the member.
  • Forms
    Structured forms issued to and completed by the member.
  • Memberships
    The member’s active (and forthcoming) memberships, along with their current credit allocations. AutoBookings may also be configured within this tab.
  • Consultations
    Information relating to the member’s DropSlot consultations, including forthcoming bookings, pending invitations, and any consultation schedules assigned to them.
  • Messages
    A filtered version of the message centre focusing on messages received from or sent to the member.
  • Medical
    A visual representation of the member’s medical status, along with any medical or associated notes.
  • Programs
    Nurture programs or XRcize programs/sessions assigned to the member.
  • Achievements
    Access the member’s weigh-in data, Body Hops, Personal Bests, and Progress Tracking data.
  • Activities
    Payment methods linked to the member’s account, their recent booking activity, payment transactions, and triggers that have been triggered and actioned against their record.
  • Store Tab
    A record of any store purchases that are due to be charged to the member but have not yet been paid for.

Actions

The Actions drop-down at the top of the member record provides access to various functions that can be performed on a member record. The list may vary, depending on the context and the GymOS system configuration.

  • Log into FitnessHub as this member
    Opens FitnessHub in a new browser tab, logged in as the current member. This is a great way to access the member record and pass it to the member, who can then fill in the remainder of their profile information.
  • Resend welcome email
    Resend the system template welcome email to the member.
  • Send member app login link
    Generate a special one-time link and send it via SMS to the member, which enables them to log in to the GymOS FitnessHub mobile app without needing to enter their login information. This is especially handy for members who struggle to enter passwords correctly!
  • Add a task/reminder
    Creates a new task/reminder, linked to the member record.
  • Add staff notice
    Creates a new staff notice, linked to the member record.
  • Send QuikPay Payment Link
    Send a QuikPay link to the member, preconfigured with their data.
  • Award badge or recognition
    Award a badge or publish to the activity feed for this member.
  • Prevent new bookings for 24 hours/48 hours/1 week/1 month
    Block the member from creating any new bookings for a selected period of time.
  • Release the booking block
    Release the existing booking block from the member record with immediate effect.
  • View Risk IQ alerts
    View the recent Risk IQ alerts associated with this member.
  • View event log
    View recent events logged against this member record in the event log. This is primarily used for “who did what, when” diagnosis-type processes.
