Fines for late cancellations or non-attendance

GymOS does not directly provide functionality to monetarily fine members for late cancellations or non-attendance, as this is typically not a method used by premium training facilities. However, the tools exist within GymOS to administer fines, if you so wish.

Subject to your configuration, GymOS retains credits used for bookings in the event of a late cancellation or a no-show. Thus, by cancelling late or not attending, they are already costing themselves one session, the same as if they had attended.

Hopefully, any issues you have with late cancellations or no-shows are relatively few.

Such events can be managed by setting up triggers to notify you when they occur. You might also include messaging to the member within these triggers, so they are aware of the violation and that they will be fined.

The triggers you might use are:

  • Members > Sessions > Session booking cancelled
    Check Include late cancellations. Uncheck Include non-late (on time) cancellations
  • Members > Sessions > No show

Once you are aware of the situation and have judged that i) you wish to fine the member, and ii) your agreed terms permit you to do so, you may facilitate this using the method outlined in the Charging a member ad hoc article.
