Archive, unarchive, or delete a member

There are several manual methods for archiving, unarchiving, or deleting members, as well as automated processes, such as those within triggers.

Archiving a member

Archiving a member is similar to deleting them, except that the data is retrievable. Archiving provides you with a method for recalling information on prior lapsed members, should they return to you.

Archival methods:

  1. Click the icon alongside the member in the member listing.
  2. From the details tab of the member record, click the Archive member data button.

Important: Archiving a member will terminate all current memberships and any other activity associated with the member. An archived member is a dormant record that exists solely for data retention purposes.

Unarchiving a member

To unarchive a member, you first find their record from the member listing. Select the Show Archived option from the Hide Archived drop-down.

Unarchival methods:

  1. Click the icon alongside the member in the member listing.
  2. From the details tab of the member record, click the Un-archive button.

Permanently deleting a member

You may permanently delete the details for a member in cases where data removal is requested by the member themselves, as permitted under data protection laws. This is done from the details tab of the member’s record.

Select the Mark for permanent deletion option under the Archive Member drop-down.

GymOS will immediately remove the record from your system, and it will be scheduled for deletion at a later time. If you require the record to be purged immediately, please raise a support ticket.
